The Payroll Administrator acts as the primary liaison between the company, ADP (payroll processor), and all employees for payroll-related inquiries. This role ensures payroll accuracy through careful reconciliation of data, compliance with applicable regulations, and effective communication. The Payroll Administrator manages the preparation, verification, and submission of payroll data, ensuring it is processed accurately and on time. The Administrator serves as the key contact with the Payroll Processor (ADP) to ensure all necessary payroll information is submitted and addresses any issues that arise during the processing. This is a full-time remote position.
Review and reconcile payroll data, including employee time records, deductions (taxes, benefits, etc.), and additional withholdings, ensuring accuracy before submission to ADP for processing.
Proactively investigate and resolve discrepancies in payroll, such as incorrect hours worked, benefits deductions, or tax withholdings to ensure timely processing.
Maintain records of all payroll-related transactions, including changes in employee status, time off, and benefits adjustments, ensuring they are up-to-date and accurately reflected in payroll.
Coordination with ADP
Serve as the primary contact for ADP regarding the submission of payroll data and troubleshooting any issues related to payroll processing.
Ensure timely submission of payroll data to ADP for processing and assist with resolving any technical or administrative issues that may arise.
Work closely with HR, Finance, and Workforce Management departments to ensure all necessary information is provided for payroll runs, and any adjustments are communicated and implemented.
Employee Relations & Compliance
Respond to employee inquiries regarding payroll, such as pay discrepancies, deductions, or questions related to benefits or taxes.
Ensure payroll compliance with all local, state, and federal laws, including but not limited to wage and hour laws, tax regulations, and benefits administration.
Prepare and generate payroll-related reports, such as weekly, quarterly, and annual reports, as well as audit and tax filings when necessary.
SKILLS AND QUALIFICATIONS:
Proven experience in payroll administration
Strong familiarity with payroll processing systems, particularly ADP
Strong understanding of payroll compliance regulations at the local, state, and federal levels with the ability to apply to ensure accuracy in payroll filings
Excellent attention to detail, with strong numerical and reconciliation skills
Ability to effectively communicate payroll-related information to both ADP and employees, offering clear and concise responses to inquiries
Proficiency in Microsoft Office, especially Excel, and payroll software
Strong organizational skills, with the ability to manage multiple tasks and deadlines
EDUCATIONAL REQUIREMENTS:
Bachelor’s degree in business administration, accounting, or a related field is preferred
Minimum of 3 years of experience in payroll administration in a multi-state environment.

Since this is a fully remote position, candidates must have a dedicated home office environment that ensures security and confidentiality. The workspace should be free from distractions, with reliable internet access, and must allow for the secure handling of sensitive information in compliance with company and legal guidelines.

COMPENSATION AND BENEFITS: The salary range for this position is $60,000 to $70,000 per year, depending on experience and qualifications. In addition to the base salary, this role may be eligible for performance bonuses. The benefits package includes but is not limited to health insurance, retirement plans, paid time off (PTO), and other company-provided benefits.
